The right office coffee machine pays for itself in months

If your team is buying coffee out, you're spending roughly $5 per coffee, per person, per day. For an office of 20 staff drinking two coffees a day, that's $200 a day going out the door. A commercial-grade office coffee machine that costs $4,000–$12,000 outright (or $80–$400 per week on rental) pays for itself inside 6–18 weeks of normal use.

The right machine for your office depends on three things: how many staff drink coffee daily, what kind of coffee they want, and whether you want them making it themselves or having it ready on demand. Di Pacci has been advising Australian offices on this exact decision since 2008. We help you size the machine to your team, install it onsite (free across Sydney metro), and keep it running with our in-house service team.

Whether you want to rent for tax-deductible operating expense flexibility or buy outright for long-term value — we'll structure it around your budget and team needs.

Find the right machine for your office size

Office coffee needs scale with headcount. Here's how we size machines to teams — pick your team size to see what we typically recommend.

Small Office — 5 to 15 staff

From $80/week rental

For small studios, dental practices, accountancy firms, and creative agencies. A compact bean-to-cup machine that handles 30–80 coffees a day, sits on a benchtop, and runs from a standard 10-amp power point.

We typically recommend: Dr Coffee Minibar S2, Jura X8 / X10, Saeco Aurora M1, Melitta Cafina.

Medium Office — 15 to 50 staff

From $150/week rental

For growing tech companies, professional services firms, and medical practices. A higher-capacity bean-to-cup with larger water tank, dual milk circuits, and 100–250 coffees a day. Often needs 15-amp power and direct water connection.

We typically recommend: Necta Kalea Plus, Franke A600, Melitta XT5, Carimali Armonia Touch.

Large Office — 50 to 150 staff

From $250/week rental

For headquarters, hospitals, government departments, and university faculties. Commercial-grade bean-to-cup with external milk fridges, telemetry monitoring, and 250–600 coffees a day. Designed to run unattended through peak rush periods.

We typically recommend: Franke A800 / A1000, Thermoplan Black&White4, Necta Korinto Prime, Melitta XT7.

Enterprise & Corporate — 150+ staff

Custom quote

For corporate HQs, large hospitals, and multi-floor enterprises. Multi-machine deployments, dedicated barista stations, café-quality commercial espresso machines, or a hybrid mix of automatic and traditional. Site survey required.

We typically recommend: Multi-unit Thermoplan deployments, Victoria Arduino White Eagle commercial setups, or hybrid Franke A1000 + traditional espresso bar configurations.

Which type of office coffee machine?

Three main categories dominate Australian office coffee. Each suits a different team and budget.

Bean-to-Cup Automatic — most popular

Press a button, get a barista-style drink in 30 seconds. Grinds fresh beans on demand, brews espresso, foams milk automatically. Best for offices where staff want convenience and consistency without training. Used by 80% of the offices we install in.

Best for: 10–500+ staff · Brands: Franke, Necta, Thermoplan, Jura, Saeco, Dr Coffee, Melitta

Traditional Commercial Espresso Machine

Cafe-grade two-group or three-group espresso machine with a separate grinder. Best for offices that have a dedicated person making coffee or want to set up a real coffee station. Highest quality output, requires skill to operate.

Best for: 50+ staff with dedicated barista · Brands: La Marzocco, Victoria Arduino, Wega, Nuova Simonelli, Synesso, ECM

Pod / Capsule Machines

Lowest upfront cost, most consistent output, but higher per-cup cost over time. Good for small offices (under 10 staff) or as a backup machine for executive offices. Limited beverage variety.

Best for: 1–10 staff or backup use · Brands: Nespresso Pro, Lavazza, K-fee, Caffitaly

Office coffee machine FAQs

How much should an office coffee machine cost?

For an office of 10–30 staff, expect to spend $4,000–$10,000 outright for a quality bean-to-cup machine, or $80–$200/week on rental. Larger offices (50+ staff) typically invest $10,000–$25,000+ for commercial-grade machines.

Can the machine handle oat, almond, soy and other plant-based milks?

Yes — most modern bean-to-cup machines we sell handle plant-based milks well. Machines with external milk containers (like the Necta Kalea Plus and Franke A600) offer the most flexibility because you can dedicate one container to dairy and another to plant-based.

Should we rent or buy our office coffee machine?

Renting offers lower upfront cost, included maintenance, and the flexibility to upgrade as your team grows. Buying offers long-term cost savings and asset ownership. Renting is often cheaper per day than buying one external coffee for the whole team.

What happens if the machine breaks down?

For rentals, all service and maintenance is included — we respond within 24 hours for Sydney metro and 48–72 hours interstate, and if a repair will take longer we supply a loan machine. For purchased machines, service plans are available from $40/month.

Do you install office coffee machines outside Sydney?

Yes. Free install applies to Sydney metro deliveries. For Melbourne, Brisbane, Perth, and regional NSW, we offer paid installation via our trained partner network.

Can we try a machine before committing?

Two options. First — visit our Sydney showroom to pull drinks on the machine before deciding. Second — our rental model effectively serves as a trial. Rent for 3–6 months, see if your team is happy, then continue renting, switch machines, or transition to ownership.

Do you supply coffee beans too?

Yes — Di Pacci is a roaster as well as a retailer. We roast our own beans in Sydney and supply multiple blends suited to office machines plus single origins for offices with higher coffee expectations.
